Personal Details

When you sign up or book sessions with us, we'll ask for the basics - name, email, phone number, address. Standard stuff you'd expect from any gym.

Health & Fitness Data

Here's where it gets more specific to what we do. We collect info about your fitness level, any injuries or limitations, training goals, performance metrics, and progress tracking. This isn't us being nosy - our coaches need this to program your training properly and keep you safe during those heavy lifts.

Payment Info

Credit card details, billing address, transaction history - the usual financial stuff. We use secure payment processors, so your card info doesn't actually sit on our servers.

Usage Data

Check-in times, class attendance, equipment usage, website activity. Helps us understand what's working and what needs tweaking.

Communications

Emails with coaches, feedback forms, survey responses. We keep these to improve our services and handle any issues that come up.

We're not selling your data to random companies or spamming you with junk. Here's what we actually do with your info:

  • Safety: Keeping emergency contact info on file, noting any health concerns our staff needs to know about
  • Improvement: Figuring out which programs work best, what equipment to invest in, how to make the gym better
  • Legal Stuff: Meeting our obligations under Canadian law, handling any disputes if they come up

We're pretty protective of your data, but there are a few situations where we share it:

Service Providers

Payment processors, email platforms, scheduling software - the tools we need to run the business. These companies are bound by contracts to keep your data secure.

Legal Requirements

If we're legally required to hand over info (court orders, government requests), we'll comply. But we'll fight overreach if it comes to that.

Emergency Situations

  • Active Members: We keep your data as long as you're training with us, plus a reasonable period after you leave (usually 3-5 years for training records)
  • Financial Records: Tax law requires us to keep these for 7 years
  • Marketing Data: If you unsubscribe, we'll delete your info within 30 days (except for a suppression list so we don't accidentally re-add you)
  • Legal Holds: If there's ongoing litigation or investigation, we keep relevant data until it's resolved

After the retention period, we securely delete or anonymize your data so it can't be traced back to you.

We train athletes of all ages, including youth sports performance clients. If you're under 18, we need parental or guardian consent before collecting any personal info.

Parents/guardians have the right to review their child's data, request corrections or deletion, and limit what we collect. Our youth training programs are age-appropriate, and we're extra careful with data related to minors.
